MATTER: Try and Fly Seminars for clubs

ACTION: VMAA is exploring options for clubs to purchase trainers through Model Flight.

UPDATE:

08/05: The President opened the discussion for comments. The committee discussed the potential of a discounted program for new junior members to purchase trainer aircraft from Model Flight. The committee considers buying discounted trainer aircraft for smaller clubs to use in try-fly events, but acknowledges the challenges of storing and maintaining these planes. The committee discussed different trainer aircraft options, with some members recommending the Aero Scout model for its durability and ease of use

12/06: Does the VMAA want to commit to purchasing 4 RTF Apprentices at a negotiated rate with Modelflight? The committee decided is to defer the purchase until the clubs show interest.

MATTER: TCMAC- Toro Mower update- summary

UPDATE:

·        Contact made with Paul Prout (Toro Australia) via Pat Joyce (AEH Group) regarding ongoing mower issues.

·        A detailed 7-page report outlining full mower history was submitted.

·        Paul responded within 10 minutes and escalated the matter to Ben Kavanagh (National Sales Manager), including TCMAC in correspondence.

·        Ben engaged InterSales Dealer Account Manager Greg Woolner and Dealer Principal John Kendal to develop a repair plan (expected completion by COB Friday).

·        After raising concerns over oil cooler costs and delays, Ben confirmed Toro would cover all repair costs under warranty—despite mower’s age (9 years).

·        Toro ordered a new oil cooler and requested an engine analyzer report and compression test (for internal condition assessment).

·        Ben confirmed no cost to TCMAC, including all parts, labour, and diagnostics.

·        Although Toro would not pursue compensation for the historic $5,600 spent at CadMac, Ben offered a goodwill gesture: a free major service post-repair.

·        Apology given for delays due to part sourcing and proper assessments.

·        TCMAC acknowledged the repair is now progressing appropriately and at no cost to the club.

_______________________________________________________________

·        The VMAA pre-approved $30,000 loan set aside for TCMAC to purchase a replacement tractor/mower will no longer be required, pending confirmation that our Toro mower is back in full working service.

·        I will formally advise when the loan can be cancelled once the mower’s return and operational status are confirmed.

·        The Committee would like to formally acknowledge and thank the VMAA for their support and willingness to assist during a particularly pressing time for the club.

APPENDIX 1- PRESIDENT REPORT- JULY 2025

President’s Report

July 2025

I want to thank Anton Koller for taking on the role of secretary.  He is doing a great job of streamlining what we do with fresh eyes and ideas.  Anton is in the process of ensuring that all the VMAA data is stored in a cloud-based program, which will make access by the committee far more practical.  I would like to thank Joe Finocchiaro for his contributions beyond his former secretary’s role in finalising the outstanding area approvals for many clubs.  All the committee members are achieving results within their respective roles.

The cold weather has slowed down the club event scene. That presents an opportunity for clubs to take advantage of the VMAA grants to help run a come-and-try event.  The Try Fly seminar was very well received, but we have yet to see any clubs jump on board.  Membership is the lifeblood of our sport continuing.

Insurance reminder to clubs.  Please verify that your club has sufficient insurance coverage. The MAAA insurance cover specific to your club is available on the MAAA website here: MAAA Australia.  Be aware that certain structures you may have at your club may not be covered (e.g., grandstands). Please ensure your facilities are safe for members and visitors to move around with no potential dangers, trip hazards etc.  If you have any concerns about your cover, you can contact V-Insurance directly via the website link provided.

Regards,

Tony Wilson

President, VMAA

APPENDIX 2- SECRETARY REPORT- JULY 2025

Well, one month in as the new Secretary of the VMAA and it’s certainly been a busy start! It’s one of those roles where you don’t truly appreciate what’s involved until you’re in the chair. There have been numerous action items to work through as part of the handover, and although it will take some time to fully settle everything, good progress is being made.

I want to sincerely thank the Committee for their support and patience over the past month. While not everything has run as smoothly as I’d hoped, I’m confident that over the next couple of months, things will settle into a good rhythm, and we’ll be hitting deadlines more consistently.

One of the early challenges has been with our email systems. A fair bit of time was spent resolving issues, and I’ve done my best to work around them to respond to everyone. If you believe I’ve missed anything or you haven’t had a reply, please don’t hesitate to get in touch — I’m always happy to follow up.

The good news is we’ll be moving our email services to Office 365 this month. This upgrade will also give us a dedicated SharePoint platform, where we can securely store and manage all VMAA data centrally. This will make life much easier for the Committee, ensuring we’re all working from the same, up-to-date information rather than keeping things scattered across personal devices.

Planning is also underway for the upcoming AGM. A formal notice will be sent shortly to meet the required notice period and to give members every opportunity to attend and be involved.

On a positive note, Mark Peterson and I recently visited the Mount Wallace field on the 22nd of June for a fly and catch-up with local members. A big thank you to Gary, Syd, and everyone who came along for your warm hospitality. It was a great day out, and I’m looking forward to visiting more clubs in the coming months.

That’s it for now — I’m looking forward to seeing what we can collectively achieve over the next month.

Anton
VMAA Secretary

Hi Anton

Attached is the Registrar’s Report for the meeting next week. As it changes daily at this time of the year, I will do an update for the meeting on the day of the meeting.

Sorry about not replying to emails promptly, we are 9hrs behind AEST at present so it is 6.50am here now, some decisions you make may have to happen without me, as I don’t see your emails until maybe 10hrs after you send them.

Kind Regards

Hi Anton,

Report below:

No new HMI application due to the application upgrade.

Phil and myself have been working on refinements to the HMI application process over the last few weeks.

The process now aligns closely with our MOP and is very close to being finished.

When Phil returns from holiday, we should be able to finalise things and get everything up and running.

Cheers,

David Law

APPENDIX 6- STATE FLYING INSTRUCTOR REPORT- JULY 2025

Subject: SFI Status Report for July General Meeting

Hi Anton,

Here is the 30th June 2025 report for our July 2025 meeting.

INSTRUCTORS: We currently have 202 MAAA qualified Instructors in the VMAA. This is no change from my last report.

WINGS ISSUED: The following Wings were issued during June.  Gold Wings Power – 1, Silver Wings Power – 7, Silver Wings Multi Rotor – 2, Silver Wings Helicopter – 1, Bronze Wings Power – 1, Bronze Wings Glider – 1, and 1 Instructor reinstatement.

RADIO INTERFERANCE: I ask all Instructors and Club Committees to reinforce the importance of their member’s knowledge of how to set up FAIL SAFE. This procedure is not well known and can be devastating to our members when they crash or lose a model.  The use of satellite receivers, redundancy systems and the correct placement of receiver antennas and area awareness of the flying field are all important considerations.  I am not going to name brands here, but some brands are far  better than others  in  filtering out radio interference. Our members need to be vigilant in what is happening in areas close to our flying fields.  The public have a right to operate their drones within the law.  This includes operating under local by-laws and CASA Regulations.  Be aware that photographic drones use a large amount of the 2.4 spectrum. Nearly everything that we use remotely, from home security to remote garage door openers etc use the 2.4 Gb spectrum.  With a good quality radio system, properly installed in the model, radio interference can be a thing of the past.

Regards,

Les Marriner Aus.20536

Subject: CO: VMAA Email & Data Management

Hi VMAA Committee.

Everyone is aware that we are having ongoing issues with emails. This has been an ongoing issue that has persisted for some time. From my perspective, we need to explore ways to eliminate these challenges. One way we can overcome this is to move to Office 365, and by subscribing to this service, we would all move to Outlook webmail. As part of this, Outlook can also be set up easily on our phones.

A second concern I have is that currently, all of the VMAA data is stored locally on a laptop and backed up to a solid-state drive (SSD). By subscribing to Office 365, we can have MS SharePoint set up, meaning that all data will be stored centrally for everyone who is provided access to work and save data. It is also secure and backed up.

I have attached a document for everyone to read and review, outlining the proposed changes. We would then need the committee to vote and decide whether to proceed down this path.

Expected costs:

  • Year 1- subscription & set-up  : $2,125.20
  • Year 2- Subscription costs      : $1,425.60 (based on current Microsoft pricing)

If you have any questions, please don’t hesitate to contact me. Please respond by the end of the day on Wednesday, 02 July 2025, advising whether you think we should proceed down this path or not, so I can see if we need to move a motion or not.

Regards,

Anton Koller
